Project Summary Guidelines
The following are the required points in the project proposal summary. Suggestions/Questions most welcome (especially from the Project Co-ordinators):

- NGO Name
- Beneficiaries
- Category
- Small (very small, might be 3-4 lines) description
- Current funding, if any
- Budget proposed
Points to be considered during project review - Sindhu Raghavendra
About the organization to be funded:
- Name of the organization and type (NGO, etc.)
- Objective of the organization
- When did the organization start?
- Is it registered?
- Does the NGO have FCRA clearance?
- Where is the head quarters located?
- How many branches does the NGO have?
- Who heads the organization?
- Qualifications of that person and other profession?
- What is its member strength?
- How are members chosen?
- Qualifications required for membership?
- Type of beneficiaries, i.e. children, old people, etc. the NGO involves, in general.
- Types of projects undertaken
- List and a small description of projects undertaken so far
- Success of previous projects
- Other agencies/organizations associated with this organization (in the past, and for which projects)
- Has the organization received any support from government received in the past, If so, give a brief description
of project and amount received.
- Support from any other agency received, If so, give a brief description of project and amount received.
- Look into the audit report to understand the lines under which money has been spent in the previous projects.
- Evaluate based on newspaper clips or photographs attached (if any)
- Why & how did the organization approach AID?
- Has AID supported this organization before? If so what was the amount released and is it worth aiding again?
About the present project (to be funded):
- Objective and goal of the project
- Reason for undertaking the project
- Estimated duration of the project
- Estimated starting date
- Estimated total cost
- Geographical location where the project will be executed
- Why is that place chosen?
- No. of villages covered (if villages)
- Population of each village
- Total number of people participating (beneficiaries) in the project (including all the programs) - project specific data.
- Are there any paid employees? If so, how many?
- Who will be paying the employees?
- Number of paid employees, whose pay is included in the funds AID is requested for?
- How are employees/ volunteers chosen?
- How many volunteers are involved in the project? (class of volunteers - are they students, or from a social
service organization?)
- Any training given to the workers (people conducting the project)? If so, specify training and where was it conducted,
how many participated & who funded?
- Education level of employees/volunteers
- Is the project receiving any support from govt. or panchayat
- Are there any other agencies supporting the project
- Has the NGO approached any other agencies
- Description of programs included in the project
- Time duration for each program
- Relevance of each program to the project
- Break up of budget for each program - are all calculations and budget break up clear?
- What is the strength and type of target audience for each program (children, women etc.)?
- Other sources of income to the beneficiaries (in case they have a side business)
- Literacy and income level of the beneficiaries
- What are the results expected at the end of each program and how will the project help, socially and financially
- What are the possible objections to the project from society?
- How can the objections be tackled?
- Has the project already started? If so, what is the level of completion
- Any schools/ colleges/ companies in the vicinity of the project area? Are they being involved in the project?
- When did the organization contact AID? When was the proposal received and action taken towards it.
- Will the project require funding every year?
- Is the project self-sustainable?
- Has AID sponsored a similar project before? If so, get details (about which chapter, process and outcome) and
can we use that experience?
Communication
- Contact Information of the organization (like Address, phone #, fax, email, website (if any))
- Contact person and his/her contact info
- Contact person @ AID - Blacksburg and other chapter (if jointly reviewed)
- Contact information of the person who visited the project area and met the NGO contact
- Report about the visit
- Put information on Project database
- Put information on AID-VT project webpage (Proposal, Q&A, visit report, photos, etc.)
Intermediate results.
- Get intermediate reports on the project before releasing more funds - mention the interval between each report
- Evaluate results of the intermediate reports and decide whether to continue funding or not.
- Give reasons for continuing/ discontinuing the project.
AID perspective
- Advantages and disadvantages of funding this project
- Total amount to be raised for this project (if any)
- Time available for raising funds
- Any visit to the site required, if so when and why.
